Microix questions

1. Correct Receiving – If a user accidentally clicks receive 100% or miskeys and saves the wrong quantity, is there a way to correct or reset receiving for a document?
Accounting/Admin can use the reset receiving button located in the Maintenance>Document Maintenance form.

2. If we change a workflow while documents are in process (either levels or individual approvers), will the documents follow the new change?
Yes, only if you change the approver . If you remove a level and documents are at that level, you have to change the document status using the Maintenance>Document Maintenance change status feature to a level that exist in the workflow. If you are renumbering workflow levels via the Approval Level title screen then the document will also move to the new levels. (But must use the Renumbering feature for this to happen)
3. Approval substitution – If a user indicates that they are going to be out for a time period and then returns the same day that they’ve marked to leave; it doesn’t seem like the system will let us save the approval substitution in that situation. How do we handle approval substitutions on an hour by hour basis? Approval substitution is based on days not hours. Need to setup a workflow alternate approver if they need someone to approve while out of office for few hours.
4. Can we drop certain segments coding on a form? If we decide down the road to add it back, can we do that? (in the forms designer?) Yes, you can edit the calAccNo formula and remove the segments that you do not need. Later you can add it back.


5. When we create a partially received invoice, where does the new document go if we don’t have a workflow setup for an API document type? Do we have to have an identical workflow for API if we want to use that feature? YES, must have an API routing even if it is only done at level 10 then at a minimum you need to start with a level 10 and go to document approve in the workflow.
6. If we remove certain columns from a transaction screen, I assume we can add them back later? YES
7. Can we change this wording on a transaction entry screen? I assume not easily? Yes, Maintenance>Global Options>Global Lookup>ENC>Record Type


8. How does partial receiving work if we use a distribution code? For example, we order 10 items, 5 are received, but those five are only for one department. Do we have to adjust the distribution code in the API or do something else before pushing documents over to accounting? You can only receive quantities and not based on allocation/expense information. Because it is an allocated line then it will also spread accordingly. However, if they need to receive by department, then do not use distribution codes. They must enter a line for each expense on the PO form. If they order 5 laptops for each department, then they will enter 5 lines on the PO each expensed to a department. When receiving, they can then choose which line/department was received.
9. What’s the relationship between segment order in forms, Microix data entry, and MIP? Is there any way to make them consistent? (screen shots attached). The entry form should be consistent with MIP entry form based on the Segment sort order. The printed form must be modified to re-arrange the segment order.
