In most cases, there is no cost to upgrade to Modern.
Costs may apply if:
The organization uses fewer than three Classic databases and needs to add or upgrade Web Licenses.
During the upgrade:
Classic Windows (concurrent) licenses are replaced with Modern Web Licenses.
Important Notes:
The upgrade includes only the features the client already owns.
Any new modules or add‑ons require an additional purchase.
The Requisition module includes three optional Modern add‑ons:
Bank Feed
Reimbursements
Invoice Capture
These come with a 90‑day trial. After the trial, they must be purchased to continue; otherwise, they will be removed.
A configuration review is required for clients who:
Need 1,000+ Web Licenses, and
Use more than three databases.
This review ensures licensing and renewal align with the client’s needs, including:
Database counts
Projected Web License usage
Any Modern add‑ons of interest
A proposal will be prepared and sent to you to present to the client.
Please provide:
Organization Name
NPS Number
Number of databases in use (or planned) — more than 3
Number of Web Licenses needed — more than 1,000
Any add‑on modules/features to be quoted
Web Licenses are shared across all databases.
Total active users across all databases cannot exceed the total number of purchased Web Licenses.
Examples:
If 1,000 Web Licenses are purchased, total active users across all databases cannot exceed 1,000.
If a client has 6 databases and 2,500 Web Licenses, total active users across all six databases combined cannot exceed 2,500.
When upgrading to Modern:
Legacy Classic discounts are removed.
Licensed modules, add‑ons, and Web Licenses cannot be reduced or deactivated before upgrading.
Any reduction attempt will result in Modern pricing.
Additional licenses may be purchased at any time.
