🛠️ Modern Upgrade Process – What to Expect

    📩 Step 1: Submit Upgrade Request

    The organization’s Microix Administrator submits an Upgrade Request form to initiate the process. Once submitted, Microix begins upgrade coordination.


    📋 Step 2: Eligibility & Preparation Meeting

    Participants: Microix + Organization’s Administrator / Key Staff

    Meeting Objectives

    • Confirm upgrade eligibility
    • Verify the client has reviewed all breaking changes
    • Provide a walkthrough of the Modern system
    • Discuss whether there is a cost to upgrade 
    • Prepare the organization and address questions

    Key Confirmations

    • Organization is ready to upgrade
    • Environment: On-Premise or MIP Cloud (MT/ST)
    • Number of active Microix databases
    • Total number of Web licenses (across all databases)
    • Preferred after-hours upgrade time (after 5 PM EST)
    • Primary User details (name + email) for first-time login

     Important Limitations

    • No rollback to Classic
    • Classic custom reports, forms, and layouts do not transfer
    • Batch scanning is not available

     User Requirements

    All users must:

    • Reset their passwords
    • Use domain-based email addresses

    Licensing Changes

    • Windows/Concurrent licenses → Named Web licenses
    • Additional licenses required if more capacity is needed

     Database Limits

    • Modern includes up to 3 databases
    • Web licenses are shared across all databases

    Example-1,000 licenses = up to 1,000 total active users across all databases


    Sandbox (Optional)

    • Sample data only (no live MIP data)
    • For exploration—not full testing

     End User Preparation-Led by Primary User (Microix Admin)

    Responsibilities:

    Built-in Support (Setup and Training NOT included) 

    After upgrading, users can access the Support menu for:

    • Video tutorials
    • AI chat
    • Email support
    • Live remote support

    Included 60-Day Trial Requisition Module Features (optional add-ons):


    📅 Step 3: Scheduling the Upgrade

    • Upgrades are performed after hours
    • Microix Admin coordinates timing with staff
    • Users must be logged out of Microix
    • Users may continue working in MIP during the upgrade

    🖥️ On-Premise Upgrade Process 

    Participants: Organization IT + Microix

    IT Must Review:

    • Breaking Changes
    • System requirements
    • Web/WAN setup guide

    Process:

    • Schedule after-hours upgrade
    • Install and register Modern
    • Primary User receives Welcome Email
    • Primary User distributes access and provides training

    ☁️ MIP Cloud Hosted Upgrade Process 

    Participants: Microix + MIP

    Step 1 – Microix

    • Module migration (~30 minutes)
    • Attachment extraction (~5 minutes per 5,000 files)

    Step 2 – MIP

    • Configuration (~1 hour, during business hours)
    • Set up system paths and permissions
    • Move attachments to permanent storage

    Step 3 – Microix

    • Complete registration
    • Send Welcome Email to Primary User
    • Primary User distributes access (welcome email) and provides training

    📧Recap - After the Upgrade

    Primary User:

    • Receives email from donotreply@microix.ai
    • Completes first-time login setup
    • Checks spam/junk folder if needed
    • Primary User distributes access (welcome email) and provides training
