Q&A
Invoice Capture
Q: Can we scan directly into the software. I believe there was a scanner button in there in the past. Is that still coming?
A: We do not plan to integrate direct scanner support into the application as we did with the Windows version. However, we will offer a drag-and-drop feature that allows customers to use their local scanner, save the files, and then drag them into the application. Additionally, customers can set up a general mailbox (e.g., invoices@domain.org), have their scanner email invoices to this mailbox, and then download them into Microix to run through the OCR process.
Q: Is there matching against purchase orders when scanning in invoices with OCR connection? What is PO field intended for on the scan in screen?
A: Future release will link an IC capture to an existing PO if the invoice being captured includes the Microix PO Number. The plan is to automate the Payment of a PO and Receiving entries based on the IC Capture but will not be available in the initial release.
Bank Feed
Q: Is Umpqua bank included for bank feed? Is there a site we can reference to check these, as well?
A: We use PLAID integration for Bank Feed, and they do not have a public site available for a list of compatible banks. It’s all done through the API link which displays a list and search of 12,000+ compatible banks.
Q: Does "Per Bank Account" refer to a single organizational account with a credit card company (e.g., 8 credit cards under 1 bank account = 1 account), or does it apply to each individual credit card, regardless of the number of organizational accounts (e.g., 9 credit cards under 2 bank accounts = 9 accounts)
A: Currently, the price includes 1 organization (a single database) with the ability to manage multiple bank vendors and credit cards. While there's no limit on the number of cards or banks at the moment, we do incur a cost per feed. As a result, we may need to adjust pricing for larger organizations in the future.
Travel Reimbursement
A: Currently, we do not pull in GSA rates for flights and rentals; these must be entered manually. The GSA feature currently supports lodging and per diem meal rates by month and zip code. If the government API adds support for flights and rentals, we plan to integrate that later.
As for pre-approved travel, we do have plans to implement a Travel Reconciliation process, similar to the bank feed reconciliation process, where employees can reconcile pre-approved purchases to credit card charges using a drag-and-drop method (see screenshot below).
Q: Does Travel Reimbursement track the national mileage rates and update like the GSA rates?
A: No, it must be manually set in our Global Settings and updated each year or as needed.
Q: Is there a round trip option or add stops option when entering addresses for mileage?
A: Add stops is not supported.
Q: Is there a way to cap the GSA rate, prevent the requester from changing the amount in that transaction line, or include that change in the audit trail to show what the rate was and if it was changed?
A: If travel was created by GSA, the rates and qty are locked. However, when the data is sent to a Microix Document, the user can manipulate at that point which includes and audit for update and delete.
