A Centralized Receiver is a user who can receive items and services on behalf of other users.
By default, the system only allows the requester of a document to receive against it. However, some organizations use a centralized procurement or receiving department to place orders for multiple departments. In these cases, orders may be shipped to a central location and then distributed internally.
To support this workflow, you can configure one or more users as Centralized Receivers for all workflows or specific workflows.
Before setting up a Centralized Receiver, confirm the following:
The user exists in the system
You know which workflow(s) the user needs access to
You have permission to update Workflows and User Security
Add the user to the appropriate workflow(s)
Add them as a requester to document type "Purchase Order" to all workflows or only the specific workflows they need access to.
Assign the Centralized Receiver permission
Go to User Security
Select Buttons/Functions
Search for Centralized Receiver
Add the permission to the user
Once configured, the user will be able to perform receiving on documents in workflows they have access to — even if they are not the requester of the document.
If the user is not added to the workflow(s), they will not be able to access documents for receiving.
The Centralized Receiver permission controls the ability to receive on behalf of others, but workflow access still applies.
