Prerequisites
Before using Email Capture feature, ensure the following:
- Office 365 mailbox is available.
- Mailbox account is a service account used only for receiving invoices. It should not be a general mailbox used for sending and receiving mail
Authorize Access to Office 365 Mailbox
Step 1: Administrator Consent (Office 365 Administrator Required)
- Navigate to Maintenance > Application Options from the navigation menu.
- Locate the IMAP Mail Server Information and select Office 365 as the Server Name.
- Enter or select the service mailbox account.

- Click the oAuth Authorization button located in the toolbar and select IMAP - Admin Consent
- The system will open a Microsoft login page where the Office 365 administrator will be prompted to authenticate to grant Microix Workflow Modules Application Read/Write to a mailbox account that will be setup in the next step.

Step 2: IMAP Mailbox Authorization
- After admin consent is successful, return to the Workflow Modules application. In the page toolbar, click OAuth Authorization, then select Register IMAP.
- The application will redirect you to the Microsoft sign-in page. Sign in using the mailbox account.
Step 3: IMAP Mailbox Setup Successful
- Navigate to Invoice Capture from the navigation menu.
- Click the Email Capture button. A panel (or drawer) will open, displaying the mailbox content.
- Select one or more message containing your invoice and Microix will download the message and automatically OCR any invoices found in the mailbox.
- All downloaded emails will be marked as read.
- Emails that have already been processed will not be downloaded again.
How to Use
- Navigate to Invoice Capture from the navigation menu.
- Click on the Email Capture button located in the toolbar.
- Microix will attempt to download email from the mailbox that was previously set up.
- A side panel (or drawer) will open showing all available emails from the service mailbox account.
- Click the Process Email button to start the invoice capture process — this may take a few minutes depending on the number of invoices found.
- Once processing is complete, review each captured invoice by selecting them from the combo box located in the upper left of the screen, which will also display the Total Invoice Count.
- After review, use the Process button to convert to a Microix Invoice, apply expense coding and submit for approval.
📌Important Note:
- Microix Support does not provide assistance for setup or training. For setup or training services, please contact sales@microix.net for a quote.
- Only emails with attachments or invoices that are embedded and unread will be retrieved. Once the invoice capture process is completed, Microix will automatically mark the email message as read and will not download again
