How to Set or Review Security Permissions for a User

🔐Overview

User security allows administrators to grant access to Microix menu items, buttons, and functions. A key enhancement in the Modern version compared to the Classic version is button and function security. In the Modern version, additional buttons and functions have been added to pages that require explicit administrator permission. Many of the default or standard buttons available on each page do not require permissions; only those that perform tasks deemed critical to the process.

There are three main roles in Microix—Requester, Approver, and Administrator. These roles are preset but can be modified using the Roles button on the Security page. Administrators may adjust the default role configurations by adding or removing permissions as needed.

If any role is modified, all previously granted security for users assigned to that role must be removed and then re-applied using the updated role. Roles act as templates for security permissions, so any changes to a role’s core configuration require reapplication to affected users.

Additionally, administrators can copy permissions from one user to other users by using the Copy Permissions icon located in the Step 1 "Choose available Role or Individual Functions".



Setting Security for a New User
Follow these steps to assign security roles and permissions (Setting up your workflows with designated Requesters and Approvers helps streamline permission management based on user roles. When the Requester role is selected, the system automatically filters the user list, allowing you to assign the appropriate security roles efficiently.)
  1. Navigate to Maintenance
    • Click on Maintenance from the main menu.
  2. Access Security Settings
    • Click on Security.
  3. Select Security Role
    • In the upper-left corner, use the “Filter List by Security Role” dropdown.
    • Choose the appropriate role: Admin, Requester, Approver or Button/Functions.
  4. Assign Rights
    • Use ‘Check All’ to assign all rights or manually select individual rights as needed.
  5. Select User
    • Use ‘Check All’ to apply to all users or select a specific user.
  6. Add Security rights
    • Click the green ‘Add’ icon at the bottom center to apply the changes.
  7. Enable Button and Function Access
    • Return to the “Filter List by Security Role” dropdown and select ‘Button/Function’.
    • This reveals additional function buttons for configuration.
  8. Finalize Button Permissions
    • Again, use ‘Check All’ or select individual users to assign button access.


🔍 Reviewing Security for an Existing User
To view a user's current security settings:
  • Use the filter to locate the specific user and view all assigned security rights.
